How to use email templates

  1. Click Email Templates in the sidebar.
  2. Click Add New Template.
  3. Give it a name (e.g. “Initial Quote”).
  4. Write the email body. Use placeholders like {{contact.first_name}}, {{business.name}}, {{project.name}}.
  5. Save.

Now from any contact, click Email → Use Template, pick this template, and the placeholders fill in automatically. Edit if needed, then send.

How fast is support?

Email replies usually arrive within one business day. Urgent issues (something broken that’s blocking you) typically get a same-day response.

Support is handled by the same person who built the product, so you’re not bouncing through a script-reading first-tier agent.

How to run a report

  1. Click Reports in the sidebar.
  2. Pick a report type: Contacts by Source, Projects by Status, Items by Location, etc.
  3. Set a date range if applicable.
  4. Apply filters (tags, categories, etc.).
  5. Click Run Report.
  6. Optionally click Export to CSV.

What’s the Items module for?

Items tracks physical things: equipment, inventory, tools, hardware. Each item can have a name, serial number, location, condition, purchase date, and notes.

Useful for: tracking equipment loaned to clients, managing tool inventory across job sites, keeping a master list of company assets.

How to add your first contact

  1. Click Add New Contact in the sidebar.
  2. Fill in the basics: First Name, Last Name, Email, Phone.
  3. Optionally add address, birthday, notes, tags.
  4. Click Save Contact.

The contact now appears in your Contacts list and is searchable from the search bar.

How to use Advanced Search

  1. Click Advanced Search in the sidebar.
  2. Enter your search term.
  3. Pick which types to search: Contacts, Businesses, Projects, Items, Notes.
  4. Optionally limit by date range or tags.
  5. Click Search.

Results group by type. Click any result to jump straight to it.

What are Health Profiles for?

Health Profiles store medical and care information for contacts: medical history, current medications, allergies, emergency contacts, doctor info.

Useful for: caregivers managing aging parents, in-home care providers, schools tracking student health forms, anyone who needs medical context attached to a person.

Privacy note: Health information is sensitive. SJ CRM is not a HIPAA-covered platform. Don’t store regulated PHI for clinical use.

How to add a new business

  1. In the sidebar, click Business → Add New Business.
  2. Fill in: Business Name, Industry, Website, Main Phone, Address.
  3. Add notes about the relationship in the editor.
  4. Click Save Business.

Now you can link contacts to it. Open any contact → Business field → pick the business you just created.

Where is my data stored?

On US-based servers (Namecheap, Inc.) with HTTPS encryption in transit, password hashing at rest, and daily backups.

Each customer has their own isolated data — one customer can never see another customer’s contacts, businesses, or anything else.
